Understanding Dynamics 365 Licensing
With so many tools and applications to choose from, pricing and licensing for Dynamics 365 can get complex – and unnecessarily costly. So, it’s important that you not only understand how Microsoft prices D365 licenses, but also what functionalities your organization truly needs.
That’s why we’re here. Avantiico’s cloud licensing team will help you better understand your Dynamics 365, Azure, and Microsoft 365 licensing options – so that you can make the right choices for your organization.
Microsoft’s By-User Pricing Model
As of 2019, Microsoft shifted pricing to be by user type. It’s now split into four buckets: Full, Activity, Device, and Team Member users, all designed to manage specific business requirements. This means you only pay the monthly Dynamics 365 license cost for the number of users you need – giving you more flexibility in optimizing for cost.
However, licensing decisions can get complex, especially if you’re planning an upgrade from Dynamics AX. How you decide to configure user tiers for your new D365 apps is a determining factor when calculating your future licensing cost.
Dynamics 365 Licensing Options
Microsoft Dynamics 365 offers two primary licensing options: User Subscription Licenses (SL) and Device Subscription Licenses (SL).
User SL is designed for named business users, ensuring each user has individual access to Dynamics 365 applications. Device SL, on the other hand, allows multiple users to share a single device license, making it a cost-effective solution for environments like warehouses or production lines where shift work is common.
For more detailed pricing information, see our Dynamics 365 licensing guide below.

Full Users vs. Additional Users
full userThese users require access to most application functionalities and are essential for roles like accounting, HR, and operations. Full users typically need a base license for their primary application.
Additional UsersFor employees who need limited access, such as reading reports or inputting data, Team Member or Device Licenses are available. These options reduce costs while still providing necessary access.

Microsoft Licensing Chaos: Clear the Confusion
Navigating Microsoft licensing can be complex and costly. Are you facing challenges like unclear agreements, underutilized tools, or risky audits?
Let’s break down the key hurdles — and how we can help you overcome them.
Complex Licensing Landscape
Juggling multiple agreements across ERP, CRM, and HR systems creates confusion and inefficiency.
Limited License Visibility
Difficulty tracking active usage leads to underutilized tools and wasted spending.
Misaligned Business Goals
Current licenses often don’t match short- or long-term needs, missing growth opportunities.
Risk of Non-Compliance
Unclear licensing terms increase audit risks, penalties, and unexpected costs.
Upgrade & Transition Hurdles
Moving to new tools (e.g., Dynamics 365, Azure) can be overwhelming without expert help.
